Plan an Event

SAL is your your "go-to" place for event planning needs. Use this page as your main resource for planning an event.

1. Get Your Event Approved

All university events need prior approval. See instructions on how to register your event and receive approval.  We want to know what you are doing and help as much as we can.

2. Get Money

Start early deciding how you can pay for your event. Most funds will need to be raised in your ASSU account prior to booking space and making other financial commitments (e.g. speakers, performers, technical equipment etc.)

3. Find Space

Need help finding a venue? Check out our venue sheets for easy-to-read information about low-cost spaces, auditoria, and performing arts spaces.

4. The "Nitty Gritty" - Event Details

Get trash cans, find a sound system, hire a food truck, etc. Use our search function or review our full list of event planning details. We encourage sustainable event planning.


Still Need Help?

Come to the SAL office on the Second Floor of Old Union to get help. SAL peer advisors scheduled each afternoon: see our calendar. We also have drop-in hours every Wednesday from 3-5 pm, a time when all SAL staff are available on a first-come, first served basis. 

What Does Stanford Consider to be a University Event?

The University defines a University Event as an event held in a University building or outdoor space on the University campus, and that is separate from academic classes scheduled as part of the curriculum.

All such events that take place on the Stanford campus are considered University events. A University event must also be sponsored by an officially recognized Stanford department or registered student organization and must be consistent with the University's mission (i.e., the creation, preservation, and dissemination of knowledge). Individuals are not permitted to host events on campus.
